Adding campuses and academic sessions
How campuses and branches are set up, how to create an academic session with its dates, and how to set the present session.
Every record you create belongs to a campus and an academic session. Set up your sessions before you admit students or start fee and attendance work, so everything lands in the right year.
Before you start
- You must be signed in as the administrator.
- Decide what a session means for you, usually one academic year, and know its start and end dates.
- Know whether you run one campus or several. This changes where sessions are managed.
Campuses and branches
A campus is a separate school site with its own students, staff and settings. Campuses are added to your account when it is set up. If you need another campus, contact us and it will be added to your account. Extra campuses may depend on your plan.
If one campus runs separate wings, for example a boys' and a girls' section, you do not need a second campus. Use branches instead:
- Go to Settings > Campus Settings, tick Enable Branch System and click Save.
- A Branches entry now appears under Settings. Open it.
- Click Add New Branch, enter the Branch Name, optionally pick a Principal, and save.
Once branches exist, staff and student forms let you choose a Branch.
Steps: add an academic session
- Go to Global Options > Sessions.
- Click Add Session.
- Choose the Calendar Year and type a Session name, for example "2026-27".
- Optionally enter the Exam Passing Percentage, Start Date, End Date and Result Declaration Date.
- Save. The session appears in the list with its academic year and dates.
Steps: set the present session
- Go to Settings > Campus Settings.
- On the General Settings tab, find Session Settings.
- Pick the Present Session and click Save Session.
The present session is the one the campus is running now. New work is recorded against it.
Good to know
- There are three kinds of session you may see at the top of the side menu. The institute session is set for the whole institution, the present session is the one this campus is running, and the working session is the one you are viewing right now.
- To look at last year's records, switch your working session from Academic Sessions in the user menu. This changes your view only. It does not change the present session for anyone else.
- Global Options appears only on single-campus accounts. If you run several campuses and do not see it, sessions are managed for the whole institution; ask support to add a new session.
- Moving students into the new year is a separate step. Use Settings > Student Promotion and Promotion Rules when the year ends.
- If you do not see this option, it may not be included in your plan or your role may not have permission; ask your administrator.
Common questions
Can I delete a session I created by mistake?
The session list has a delete option. Only delete a session that has nothing recorded against it yet.
