Setting up instalment plans

Split a session fee into instalments with set intervals and due dates when you create session challans.

If your institution charges a session (annual) or semester fee, you can split it into instalments so families pay in smaller amounts across the year. Each instalment becomes its own challan with its own due date.

Before you start

  • Instalments are created from session fee challans. This option appears for institutions set up for session or semester billing. Institutions on monthly billing already pay month by month and do not see it.
  • Fee heads and class fees must be set up.
  • You need permission for Create Challan. If you do not see this option, it may not be included in your plan or your role may not have permission; ask your administrator.

Steps

  1. Go to Fee > Create Challan.
  2. Under Select Category, choose Create Session Fee Challans.
  3. Choose the class, section or other filters for the students you want to bill.
  4. Tick Create installments (next to "Convert the generated slips into installments?").
  5. Choose Total Installments, from 2 up to 24.
  6. Choose the Installments Interval: 1 Month, 2 Months or 3 Months.
  7. Choose the Division Type:
    • Auto Calculate splits the fee evenly.
    • Percentage lets you set what share each instalment carries.
    • Fixed lets you set an exact amount per instalment.
  8. Pick the Start Date. A table of instalments appears with a due date for each, based on the interval.
  9. Check each row. You can edit the instalment narration so families see, for example, "Instalment 1 of 4".
  10. Create the challans.

Good to know

  • When you use Percentage or Fixed, make sure the instalments add up to the full fee before you save.
  • Each instalment is a normal challan. It is collected, reminded and reported like any other, so defaulter lists show a family as soon as one instalment is overdue.
  • Concessions assigned to a student are taken into account when challans are created. Assign them first.
  • For a single family that needs a special arrangement, you can create challans for that one student rather than the whole class.
  • If you use late fee fines (set in Fee Setting), check how they apply to instalments with a test family before families receive their first instalment.

Common questions

Can I change an instalment due date after creating it?

Due dates can be changed by editing the challan from the collection screen, subject to your permissions.

We bill monthly. Can one family pay a big balance in parts?

Yes. Record part payments against the challan on the Collect Fee screen. The remainder stays pending and carries forward.
